At CheckDIY, your privacy is important to us. This Privacy Policy explains what information we collect when you use our check printing software at https://www.checkdiy.com, how we use that information, and what choices you have. By using the Services, you agree to the collection and use of information in accordance with this policy.

Account Information

When you create an account, we collect:

Password (stored encrypted — we never see your plain text password)

Payment method details (processed and stored securely by Stripe — we never store your full credit card number)

Business Information

When you set up your check printing profile, you may provide:

Business name and address
Bank name and address
Starting check number
Company logo

Vendor and Payment Records

When you use the Services to print checks, we store:

Payee names and addresses
Payment amounts and dates
Check numbers
Memo information
Invoice data you upload for AI scanning
Spending categories you assign

Usage Information

We automatically collect certain information about how you use the Services:

Log data including IP address, browser type, pages visited, and time spent
Device information including hardware model and operating system
Error reports and performance data

2. How We Use Your Information

We use the information we collect to:

Provide, maintain, and improve the Services
Process your subscription payments through Stripe
Send you transactional emails including receipts, trial ending notices, and payment failure alerts
Respond to your support requests and questions
Send product updates and feature announcements (you can opt out at any time)
Detect and prevent fraudulent or unauthorized use of the Services

3. Information We Do Not Collect

CheckDIY is designed with your banking privacy as a top priority. Here is what we explicitly do not collect:

Business Document Details

Your business details are entered into the document generation tool which runs entirely inside your browser. This sensitive information is never transmitted to or stored on our servers.

Document Formatting Data

Document formatting is generated client-side in your browser. We do not store, log, or have access to your document formatting data.

Check PDFs

The PDF files of your printed checks are generated and downloaded directly in your browser. We do not store copies of your printed check PDFs on our servers.

Sensitive Personal Data

We do not collect Social Security numbers, government ID numbers, or other sensitive personal identifiers beyond what is required for account creation and payment processing.

4. How We Store and Protect Your Data

4.1 Data Storage. The following data is stored on our secure servers to provide the cloud sync features of the Services:

Account information
Business profiles
Vendor names and payment records
Check register history
Spending categories
Invoice data you upload

4.2 Security Measures. We protect your data using:

Encryption in transit using TLS 1.2 or higher for all data transmitted between your browser and our servers
Encryption at rest for all data stored in our database
Secure authentication powered by Clerk with industry-standard session management
Regular security audits and vulnerability assessments
Access controls limiting which employees can access customer data

4.3 Data Breach Notification. In the event of a data breach that affects your personal information, we will notify you within 72 hours of becoming aware of the breach via the email address associated with your account, as required by applicable law.

4.4 No Security Guarantee. While we implement industry-standard security measures, no method of electronic storage or transmission is 100% secure. We cannot guarantee the absolute security of your data.

5. Cookies and Tracking

5.1 We use cookies and similar tracking technologies to operate and improve the Services. Cookies are small text files stored on your device by your browser.

5.2 We use the following types of cookies:

Essential Cookies

Required for the Services to function. These include authentication cookies that keep you logged in and session cookies that remember your preferences. You cannot opt out of essential cookies while using the Services.

Analytics Cookies

5.3 We do not use advertising cookies or sell your browsing data to advertisers.

6. Third Party Services

We use the following trusted third-party services to provide the Services. Each is bound by their own privacy policies and security standards:

Processes all subscription payments. Stores your credit card details and billing information securely.

We do not sell data to or share data with any other third parties except as required by law.

7. Data Retention

7.1 We retain your account information and Customer Data for as long as your account is active or as needed to provide the Services.

7.2 If you cancel your subscription your account data will be retained for 30 days after cancellation, after which it will be permanently deleted. You may request an export of your data at any time before permanent deletion by contacting us at legal@checkdiy.com.

7.3 If you request deletion of your account, we will delete your personal information within 30 days, except where we are required to retain it by law (for example, billing records required for tax purposes).

7.4 Anonymized and aggregated data that cannot identify you may be retained indefinitely for product improvement and analytics purposes.

8. Your Rights and Choices

You have the following rights regarding your personal information:

Access
You may request a copy of all personal information we hold about you by contacting us at legal@checkdiy.com. We will respond within 30 days.
Correction
You may update or correct your account information at any time through your account settings page.
Deletion
You may request deletion of your account and all associated personal data by contacting us at legal@checkdiy.com or through your account settings. We will process deletion requests within 30 days.
Data Portability
You may export your payment history and vendor data at any time using the Export feature in the Services. You may also request a full data export by contacting us.
Opt Out of Marketing Emails
You may opt out of non-transactional marketing emails at any time by clicking the unsubscribe link in any email or by contacting us. Note that you cannot opt out of transactional emails such as payment receipts and account security notices.

9. Children’s Privacy

The Services are not directed to children under the age of 18. We do not knowingly collect personal information from children under 18. If you are under 18 years of age you may not use the Services.

If we become aware that we have collected personal information from a child under 18 without parental consent, we will take steps to delete that information as quickly as possible. If you believe we may have collected information from a child under 18, please contact us at legal@checkdiy.com.

You have the right to request that we disclose what personal information we collect, use, disclose, and sell about you.
Right to Delete
You have the right to request that we delete personal information we have collected from you, subject to certain exceptions.
Right to Correct
You have the right to request that we correct inaccurate personal information we maintain about you.
Right to Opt Out of Sale
We do not sell personal information. However, if this changes, you would have the right to opt out.
Right to Non-Discrimination
We will not discriminate against you for exercising any of your CCPA rights.

11. Changes to This Policy

11.1 We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email to the address associated with your account and by updating the Last Updated date at the top of this page.

11.2 We will provide at least 30 days notice before material changes to this Privacy Policy take effect. Your continued use of the Services after the effective date of the updated Privacy Policy constitutes your acceptance of the changes.

11.3 We encourage you to review this Privacy Policy periodically to stay informed about how we protect your information.
